How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    You'll be supporting senior leadership in a role where organisation, judgement, communication and stakeholder confidence really matter. The working pattern will need to be flexible, as the location of work may mirror the Director's diary. There may be weeks where the role requires a full five days onsite, so candidates must be comfortable with a highly flexible, office-based working model.

    You'll have the opportunity to:

    Support a senior Director with complex diary, visit and executive support requirements.
    Act as a key point of contact for stakeholders across the organisation, building trusted relationships with colleagues at all levels.
    Help coordinate and deliver cross-executive initiatives, meetings and actions.
    Work at pace across a high degree of complex issues, managing competing priorities and supporting effective executive decision-making.
    Contribute to improvements in executive support practices, processes and service delivery.
    Operate within a demanding and high-profile environment where discretion, professionalism and reliability are essential.What You'll Be Doing

    You will play a critical role in enabling the effective day-to-day running of the Executive team. This will include managing routine matters and correspondence, supporting diary and visit requirements, coordinating meetings, progressing actions, and helping ensure that senior leaders are able to operate effectively.

    You will be responsible for:

    Organising the Director's working environment so they can operate effectively, including dealing with routine matters and correspondence on their behalf.
    Supporting diary management, visits and wider executive coordination requirements.
    Planning, coordinating and delivering initiatives that meet cross-executive requirements.
    Identifying and mitigating potential risks, dependencies and interdependencies across executive activity.
    Planning and facilitating executive meetings, capturing decisions, communicating outcomes and progressing actions.
    Setting direction and prioritising work across the office, including coordinating junior office resource and working closely with Facilities management.
    Identifying opportunities to improve delivery practices, processes and the overall Executive Support service offering.
    Building strong relationships with other Executive Assistants, Personal Assistants and stakeholders across the wider organisation.
    Acting as a trusted liaison between senior leaders and key internal and external stakeholders.Your Experience

    To be successful, you'll be able to demonstrate experience in a busy executive support, office coordination or senior administrative role where you have supported senior stakeholders, managed competing priorities and operated with professionalism, pace and discretion.

    You'll bring:

    Proven experience planning, coordinating and delivering requirements or initiatives using strong written and verbal communication skills.
    A proactive, self-starting approach, with the confidence to operate autonomously and support others effectively.
    Strong prioritisation skills, with the ability to manage multiple requirements simultaneously and adapt to changing circumstances.
    Excellent stakeholder management skills, including the ability to build relationships with senior colleagues and external partners.
    The confidence to navigate complex stakeholder dynamics professionally and effectively.
    Strong interpersonal and influencing skills, including the ability to coordinate busy stakeholders and drive actions to completion.
    Exceptional organisational skills and attention to detail.Essential Skills / Experience

    Proven experience in executive support, senior administration, office coordination or a similar fast-paced support role.
    Strong planning, coordination and delivery capability.
    Excellent written and verbal communication skills.
    Ability to operate with a high level of autonomy and initiative.
    Strong organisational skills, with the ability to prioritise and manage multiple activities simultaneously.
    Confident stakeholder engagement skills across all levels, including senior colleagues and external partners.
    Ability to work flexibly as part of a fast-paced team and adapt to changing priorities.
    Strong influencing and relationship-building capability.
    DV clearance held, or eligibility to undergo DV clearance.In Return
