Looking for an administration role where you can make a real impact? Based in Addlestone, Surrey, you'll be responsible for coordinating planned and reactive maintenance activities, working closely with engineers, contractors, and internal teams to ensure works are completed on time and to a high standard.

Key Responsibilities
As the Administrator, you will:
Coordinate planned, reactive, corrective, and billable maintenance works
Schedule engineers and contractors to ensure works meet agreed timescales
Manage maintenance backlogs and monitor outstanding tasks
Liaise with contractors to obtain quotations, updates, and completion information
Raise purchase orders and support invoicing processes
Maintain accurate records within the CAFM system
Process quotations, work orders, and financial documentation
Chase completion certificates, service reports, and compliance documents
Produce reports and provide updates to operational teams
Build strong relationships with contractors, customers, and internal stakeholders
What we're looking for
We're looking for someone who has:
Previous experience within an administration, scheduling, planning, or coordination role
Experience in Facilities Management, Property Services, Engineering, Maintenance, Construction, or a similar environment
Excellent organisational and prioritisation skills
Strong communication and stakeholder management abilities
Experience working with contractors and suppliers
A high level of accuracy and attention to detail
Confidence using Microsoft Office, including Excel, Outlook, and TeamsIt would be beneficial if you also have:
Experience using CAFM systems
Knowledge of Planned Preventive Maintenance (PPM)
Experience with purchase orders and invoicing
