Owen Reed is looking for an accomplished Legal Secretary to join the Private Wealth team at a top law firm in London. This is an exciting opportunity for an experienced Legal Secretary to become part of a highly regarded Private Wealth practice, providing exceptional support to legal professionals while working in a collaborative, client-focused environment. The successful Legal Secretary will play a key role in ensuring the smooth day-to-day running of the team while delivering outstanding service to both colleagues and clients.
Working Arrangement
This is a permanent hybrid position based in London, with three days in the office and two days working from home.
About the Role
As a Legal Secretary supporting the Private Wealth team, you will provide high-quality secretarial and administrative support within a busy and fast-paced practice. The Legal Secretary will take ownership of team workflow, manage competing priorities and ensure work is completed accurately, efficiently and to the highest professional standard.
The Legal Secretary will manage team calendars, coordinate meetings, prepare and proofread legal documents, oversee billing processes, submit expense claims and proactively monitor team inboxes during absences. Working closely with Executive Assistants, Client Administrators and Business Services teams, the Legal Secretary will ensure seamless support across the department while maintaining excellent client service.
Key Responsibilities
- Manage team workflow and coordinate work with central support departments.
- Monitor shared inboxes during absences and ensure timely responses.
- Organise meetings, manage diaries, book meeting rooms and coordinate logistics.
- Prepare, amend and proofread legal documentation to house style with exceptional accuracy.
- Collaborate with Executive Assistants, Legal Secretaries and Business Services teams to provide seamless support and holiday cover.
- Manage billing administration, generate bills and liaise with Client Administrators while ensuring compliance processes are followed.
- Submit expense claims promptly and accurately.
- Act as a professional first point of contact for clients and colleagues, managing calls and correspondence efficiently.
- Identify potential issues proactively and implement practical solutions to maintain an efficient workflow.
- Keep stakeholders informed of progress and changing priorities while consistently meeting deadlines.
About You

You will have:
- Proven experience providing first-class legal secretarial support within a professional services or legal environment.
- Essential experience within Probate or Trust and Tax.
- Excellent verbal and written communication skills.
- Strong organisational skills with the ability to prioritise competing deadlines.
- Exceptional interpersonal skills with the confidence to build strong working relationships.
- A proactive, adaptable and solutions-focused approach.
- Excellent attention to detail and proofreading ability.
- Advanced knowledge of Microsoft Office applications.
- A minimum typing speed of 60 words per minute.
