How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    Document Controller

    Overview

    We are recruiting for an experienced Document Controller to join a busy project delivery team within a highly technical and project-driven environment.

    This is a fast-paced role responsible for the control, management and coordination of project documentation throughout the project lifecycle. Working closely with Project Managers, Engineers and external stakeholders, you will ensure all documentation is accurately maintained, issued, tracked and controlled in accordance with project requirements and quality standards.

    The successful candidate will play a key role in supporting project delivery by maintaining document registers, managing revision control and ensuring documentation is submitted and received in line with contractual requirements.

    Key Responsibilities for Document Controller

    * Provide comprehensive administrative and document control support to Project Managers, Engineers and wider project teams.

    * Prepare, review and format document transmittals, cover sheets and submission packages.

    * Manage the submission of documentation to clients, suppliers and third parties, ensuring accuracy and traceability.

    * Log, track and control incoming and outgoing documentation.

    * Maintain and update project document registers, ensuring documentation is current and accurately recorded.

    * Expedite documentation from internal and external stakeholders to support project schedules and milestones.

    * Act as a key point of contact for document control matters with clients, suppliers and project teams.

    * Ensure documentation complies with project specifications, quality standards and document control procedures.

    * Coordinate document review cycles, managing comments, revisions, approvals and resubmissions.

    * Maintain electronic and manual document control systems, ensuring records are secure, accessible and up to date.

    * Monitor document status and provide regular progress updates to Project Managers.

    * Participate in project meetings and provide updates on documentation deliverables and timelines.

    * Maintain confidentiality and integrity of project documentation.

    * Support internal and external audits and assist with quality management system compliance.

    * Contribute to the continuous improvement of document control processes, systems and templates.

    * Assist with the preparation and issue of final project documentation and handover packages.

    Key Requirements

    Essential Skills

    * Excellent verbal and written communication skills.

    * Strong organisational skills with exceptional attention to detail.

    * Ability to manage large volumes of technical documentation including drawings, specifications and datasheets.

    * Strong IT skills, including Microsoft Office applications and PDF editing software.

    * Experience using electronic document management systems.

    * Ability to prioritise workload effectively and manage multiple projects simultaneously.

    * Strong stakeholder management skills with the ability to build effective working relationships.

    Experience

    * Previous experience in a Document Controller, Project Administrator or similar role.

    * Experience maintaining document registers and document tracking systems.

    * Experience supporting project teams within a fast-paced environment.

    * Experience liaising with clients, suppliers and internal stakeholders.

    * Understanding of document control procedures, revision control and document management best practice.

    * Experience working to deadlines across multiple concurrent projects.

    Desirable Experience

    Experience within engineering, manufacturing, fabrication or construction environments.

    Exposure to quality management systems such as ISO 9001.

    Experience supporting internal and external audits.

    Experience working on international projects.

    Understanding of engineering, procurement, construction and commissioning project lifecycles.

    Experience implementing or improving document control processes and systems.
