Reports to: Fleet Manager – UK Bulk Haulage
At Panda, we’re looking for a highly organised Logistics Coordinator to support our UK Bulk Haulage operation.
This is a key role within the transport team, helping to keep fleet activity running smoothly, supporting vehicle planning, maintaining accurate records and ensuring strong communication across the driving team.
The Logistics Coordinator role would suit someone with strong administration skills, good attention to detail and an interest in transport, logistics or fleet operations.
The Role
As Logistics Coordinator, you’ll provide day-to-day support to transport operations, helping to improve efficiency, manage key records and support the smooth running of fleet activity.
You’ll work closely with the Fleet Manager, drivers and internal teams to track vehicle movements, support planning, manage transport information and help ensure operational requirements are met.
This role will also support fleet planning when operational demand is high, helping make sure vehicles, drivers and resources are coordinated effectively.
What You’ll Be Doing
You’ll be responsible for:
Providing administrative support to transport operations
Producing daily transport plans in line with customer orders and expectations
Supporting vehicle planning, routing and fleet utilisation
Tracking and logging vehicle movements, downtime and utilisation
Logging vehicle bottlenecks, times and registrations to support claims and disputes
Monitoring vehicle sales, VORs and driver availability to maintain clear operational oversight
Managing records for vehicle inspections, MOTs and servicing schedules
Assisting with vehicle and trailer defect management through to compliant close out
Booking jobs onto the group weighbridge software
Helping compile wage information and holiday bookings
Supporting invoice management and cost tracking
Ensuring effective communication across the driving team
Ensuring drivers’ hours and transport regulations are being followed
Providing telephone cover during key meetings and training sessions
Liaising with staff and internal departments to provide accurate information
Supporting general problem-solving across the department
Assisting with other duties within the scope of the transport functionAbout You
We’re looking for someone who is organised, proactive and comfortable working in a busy transport environment.
You’ll bring:
Strong organisational and administrative skills
Good attention to detail and accuracy
Experience in transport, logistics or fleet administration, ideally but not essential
The ability to track and log vehicle movements accurately
Good working knowledge of Microsoft Office and relevant business systems
Strong IT literacy and confidence working with data
The ability to understand and use data to identify improvement opportunities
A proactive approach with the ability to self-manage
Clear communication skills and confidence working with people at all levels
The ability to adapt in a fast-paced operational environmentKnowledge and Qualifications
A good understanding of transport and logistics operations would be advantageous, along with knowledge of:
Vehicle maintenance schedules
Transport administration
Invoicing processes
Regulatory documentation
Legal and compliance requirements within transport operationsA Transport Manager CPC or Professional CPC qualification would be advantageous, although training may be offered if required.
