How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

Working closely across the business and the senior leadership team, you will play a pivotal role in ensuring the smooth day-to-day running of our creative studio and head office. This position is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and takes pride in delivering exceptional operational standards.

    Office Management

    • Manage the day-to-day operations of the office while balancing the needs of multiple stakeholders.
    • Act as the primary point of contact for office-related issues and third-party suppliers, including security, cleaning, facilities, landlords, and maintenance providers.
    • Recruit, lead, and support the Front of House team to maintain exceptional office standards.
    • Oversee office repairs, maintenance, utilities, supplies, and facilities budgets.
    • Support forecasting and management of operational expenditure.
    • Coordinate onboarding and offboarding processes, including desk setup, equipment allocation, inductions, and health and safety training.
    • Partner with IT providers to ensure seamless technical onboarding and offboarding experiences.
    • Organise company-wide meetings, events, and social activities.
    • Own travel administration, policies, communications, and employee support.
    • Manage insurance administration, renewals, claims, and broker relationships.
    • Provide administrative support to senior leadership, including the CEO, CFO, and Operations Director.

    Studio Coordination

    • Support the daily operations of the design studio, ensuring a clean, efficient, and well-organised workspace.
    • Coordinate studio requirements for key meetings, fittings, client visits, and VIP events.
    • Manage operational expenses, invoices, and budget approvals alongside Design Directors.
    • Support the planning and execution of styling and fitting sessions.
    • Assist with catering, gifting, couriers, travel arrangements, and studio administration.
    • Maintain studio contact lists and support calendar coordination across the design team.
    • Facilitate courier operations, archive returns, and sample movements.

    Health & Safety

    • Act as the Head Office Health & Safety lead.
    • Drive compliance initiatives and partner with HR to maintain robust policies and procedures.
    • Manage office layouts and workspace planning.
    • Coordinate statutory testing, servicing, and maintenance schedules.
    • Conduct and oversee risk assessments and ensure corrective actions are completed.
    • Maintain Health & Safety records and provide regular compliance reporting.

    Archive, Sample & Storage Management

    • Manage offsite archives and storage facilities.
    • Maintain archive standards and procedures across departments.
    • Support sample tracking, storage, and accountability processes.
    • Coordinate and oversee internal sample sales.
    • Manage all associated storage administration.

    Logistics & Internal Stock Management

    • Support logistics administration and business shipping requirements.
    • Coordinate courier and freight movements, including documentation and waybills.
    • Manage employee clothing allowances and personal orders.
    • Partner with Finance on stock reconciliation and warehouse administration.
    • Support stock visibility, reporting, and system management.
    • Monitor and record logistics-related costs.
    • Coordinate employee gifting programmes alongside HR.

    Company Ambassador

    • Champion company values, culture, and ways of working.
    • Build strong relationships with internal teams, clients, and external partners.
    • Communicate operational updates effectively across the business.
    • Handle sensitive and confidential information with professionalism and discretion.

    About You

You will be a confident coordinator who enjoys working across multiple functions and takes ownership of your responsibilities. You have excellent attention to detail, thrive under pressure, and are passionate about creating a seamless workplace experience.

    Skills & Experience

    • 2–3 years' experience in an office, operations, workplace, studio, or facilities role.
    • Experience within a fashion, retail, design, luxury, or creative environment is highly desirable.
    • Experience in a studio coordination or PA-type role where you have supported creative teams is highly desirable.
    • Strong organisational and project management skills.
    • Excellent communication and stakeholder management abilities.
    • Highly proactive with a solutions-focused mindset.
    • Comfortable managing multiple priorities in a fast-paced environment.
    • Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
    • Professional, discreet, and capable of handling confidential information.
    • Meticulous attention to detail and high standards of presentation.
    • Additional languages would be advantageous.
