How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

We’re looking for a motivated, highly organised individual who enjoys working with detail and process, and who wants to play a key role in shaping how clients and entities are on-boarded at Wilkes.

    About Wilkes

Wilkes is a well-established, independent law firm in the Midlands, trusted by businesses, individuals, lenders and charities alike. What sets us apart is our people – collaborative, professional, and genuinely committed to delivering an excellent client experience. As the firm continues to grow, we’re investing in our systems and processes, and this role is central to that journey.

    The Role

This is an opportunity to take ownership of our client and entity onboarding process. You’ll be responsible for ensuring new clients and matters are accurately and efficiently set up within our case management system, while meeting all regulatory and compliance requirements.

    Key Responsibilities

    • Supporting fee earners with client onboarding and new matter creation
    • Conducting conflict checks and completing AML and ID verification
    • Carrying out national and international searches
    • Accurately setting up new entities within the Case Management System
    • Maintaining clear, up-to-date records and producing onboarding guidance where needed
    • Monitoring tasks, chasing outstanding actions, and meeting deadlines
    • Responding to client and internal queries and identifying opportunities to improve processes
    • Working collaboratively with colleagues across the firm

    What We’re Looking For

    • Previous experience in a similar role, ideally within legal or professional services
    • Strong attention to detail and a high level of accuracy
    • Confident written and verbal communication skills
    • Excellent organisation and time-management abilities
    • Competence with Microsoft Office and legal systems (experience with Partner for Windows is advantageous)
    • A proactive, hands-on approach with the confidence to take ownership

If you’re looking for a role where you can make a real impact and be part of a supportive, forward-thinking firm, we’d love to hear from you.
