The Role
The Document Controller will be responsible for managing all project documentation through Procore and other document management systems, ensuring accurate and up-to-date information is distributed to site teams, subcontractors and stakeholders.
You will act as a central point of contact for document control, maintaining efficient workflows and ensuring compliance with project and quality standards.
Key Responsibilities
* Manage all project documentation including drawings, specifications, RFIs, submittals, transmittals and snagging information
* Ensure the latest approved construction drawings and documents are issued to site teams and subcontractors
* Maintain strict version control to prevent outdated information being used on projects
* Control incoming and outgoing documentation from consultants, contractors and suppliers
* Administer document workflows through Procore and associated systems
* Upload and maintain accurate records of all project documentation
* Track RFIs, submittals and drawing revisions to ensure timely responses
* Coordinate folder structures and permissions in line with project requirements
* Liaise with project managers, site teams, subcontractors and design consultants to manage document flow
* Support project meetings by preparing and distributing reports and document packs
* Ensure document control procedures align with contractual and project requirements
* Maintain clear audit trails for all project documentation
* Support quality assurance processes by ensuring documentation is correctly reviewed and approved
* Identify delays or bottlenecks within approval processes that may impact project progress
* Provide support and guidance to project stakeholders on document management systems
Requirements
* Proven experience as a Document Controller within the construction industry
* Strong working knowledge of Procore (essential)
* Experience managing construction documentation across live projects
* Excellent organisational skills and attention to detail
* Ability to work effectively within a fast-paced environment
* Strong communication skills with the ability to liaise with both site and office teams
* Understanding of document numbering conventions and metadata standards
