Team Administrator, Professional Membership Body, Central London, Permanent, £32,000-£33,000 p/a
International Membership Organisation, based in Central London is looking for a Team Administrator to join their team and help with the day-to-day administration and support to the Department. Hybrid working; in this role you need to be able to travel Internationally if needed to attend Business meetings.
Responsibilities include:
- First point of contact and Admin support to the Diversity and Inclusion Council, organising conference calls
- Preparing and circulating reports and agendas
- Minute taking for governance meetings (training in minute taking can be provided)
- Assisting in the process for Council and Committee nominations and appointments
- Preparing copy for Annual conference programmes
- Assisting in the creation and maintenance of online learning materials and coordination of workshops at mid-year and annual conference
- Providing support to speakers for the Conference and processing speaker expenses
- Helping to maintain senior Executives travel calendar, budgets, schedules and agendas
- Create, manage and maintain a department database, tracking projects and proposals and liaise with communications team to ensure completed projects are promoted
- Assisting with proof-reading newsletters and helping to prepare copy for conference programmes
- Assisting with the creation, organisation and running of small Committee events
Skills and requirements
- Excellent written and verbal communication in Business English
- Administrative experience in an office environment with the ability to manage own workload
- Educated to A Level standard or equivalent
- Proven track record in minute taking preferred but not essential
- Proven track record in detailed, accurate and timely administration
- Drafting memos and reports for senior review
- Scheduling formal and informal meetings and creating formal agendas
- Competence and advanced knowledge in using MS Office (particularly Word, Excel and Outlook) Zoom
- Secretarial skills and experience with professionals particularly in the Legal field would be useful, as would Membership body experience
- Knowledge of producing minutes would be an advantage
- Knowledge of a second language would be useful
- Self-motivation and initiative
- Ability to work both independently and as part of a team
- Ability to be flexible and working with changing priorities
- The ability to develop effective working relations with senior professionals from various cultures.
