How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    Job description

    A top Mid-Tier Law Firm based in the City of London has a busy and exciting role in Legal Private Client team with a specialist focus on Tax and Estate Planning.


    This role will be offered on an initial 8 month FTC with the potential to go permanent.


    Responsibilities:

    As a Legal PA, you will provide secretarial and administrative support to a minimum of 6 fee earners in the Tax & Estate Planning team. Where necessary, you will also be required to provide additional support to secretarial and fee earner staff within the department/wider firm. You also will be one of a team of people who organise travel arrangements (air/train tickets) for fee earners in the firm.

    • Responsible for ensuring that all typing is completed within the required time frames.
    • Responsible for ensuring that client files are maintained and up to date at all times, including the opening and closing of client matters, and filing of relevant documentation.
    • Obtaining billing guides and preparing draft bills (with fee earner input).
    • Responsible for the creation and maintenance of new clients’ records on SOS.
    • Managing queries from clients and others to assist the fee earners.
    • Managing fee earner’s diaries on a daily basis, including organising and scheduling meetings, appointments, arranging lunches etc.
    • Organising file reviews for the department and working with Risk & Compliance to ensure deadlines are met.
    • Assisting fee earners in arranging and booking various training courses by completing training requests, booking individuals on courses, requesting payment from Accounts etc.
    • Supporting the wider team by assisting in any overflow of outstanding PA work.
    • Other tasks commensurate with the post as required.


    Skills and Experience

    • Excellent written and verbal communication skills.
    • Able to prioritise workloads and work on own initiative.
    • Excellent organisational and administrative skills.
    • High level of attention to detail and organisational skills.
    • Fast accurate typing with excellent grammar and spelling.
    • Proficient in Microsoft office applications, in particular Word, Excel, PowerPoint and Outlook.
    • Previous experience as a legal secretary within private client is preferred and experience of supporting 5+ fee earners in a busy environment is desirable.
    • Formal secretarial training e.g. ILEX is desirable, but not essential.


    Person Specification

    • Ability to prioritise work effectively when under pressure and deal with competing workloads.
    • Ability to work without supervision and use own initiative to ensure tasks are completed.
    • Highly organised with excellent attention to detail.
    • Professional and flexible in approach to both work and colleagues.
    • Excellent communication skills and ability to deal with people at all levels across the firm
    • Formal secretarial training is desirable but not essential.
    • The normal working hours for this role are 9.30- am – 5.30 pm Monday to Friday but candidates should be prepared to work outside contractual hours as and when required.
