How our sorting works

The order in which job vacancies are displayed is determined by a composite score based on the following factors:

  • Keyword Relevance: How well your search terms match the vacancy details. We prioritize matches found in the job title, followed by job requirements, location names, and educational levels. Matches within general employer information or the organization's name carry a lower weight.
  • Commercial Prioritization (Premium Jobs): Vacancies paid for by employers ('Premium' or 'Sponsored') receive a ranking boost and will appear higher in the search results.
  • Recency (Date Relevance): Newer vacancies are prioritized. The relevance score of a vacancy is reduced by half once the posting is older than 30 days.
  • Proximity (Distance Relevance): Vacancies located closer to your search location are ranked higher. For vacancies located more than 30 km from the search center, the relevance score is halved.
The final ranking is established by multiplying all these individual factors to calculate the total relevance score.

    The Role

    They are seeking a highly organised Project Coordinator to provide end-to-end operational and administrative support across executive search and recruitment projects. Working closely with consultants, researchers, and operations colleagues, you will play a critical role in ensuring projects run smoothly from initiation through to completion. This position suits someone who thrives on coordination, accuracy, and stakeholder management, and who takes pride in delivering a consistently high standard of service. In addition to supporting day-to-day delivery, you will contribute to improving systems, processes, compliance, and overall team efficiency.


    Key Responsibilities

    • Coordinate and support the end‑to‑end delivery of executive search projects, acting as the central point of contact for logistics, timelines, and documentation.
    • Schedule and manage client meetings, interviews, assessment centers, and events, ensuring a consistently high‑quality experience.
    • Maintain accurate and up‑to‑date project data within internal systems and CRM platforms.
    • Prepare and manage project documentation, including candidate materials, proposals, contracts, and presentations.
    • Review and coordinate updates to client contracts and service agreements in line with governance and compliance requirements.
    • Support financial administration, including invoicing, account reconciliation, and preparation of project finance reports.
    • Manage consultant diaries, anticipating scheduling challenges and providing practical solutions.
    • Support client onboarding and manage communications to ensure clarity on processes, timelines, and expectations.
    • Act as a trusted operational support for the wider team, handling inquiries efficiently and professionally.
    • Contribute to continuous improvement of systems, processes, and ways of working, ensuring data protection and quality standards are upheld.


    Essential Background

    • At least 12 months’ experience in an operational, administrative, or coordination role within a fast‑paced professional services or recruitment environment.
    • Highly organised, with strong attention to detail and the ability to manage multiple priorities under pressure.
    • Confident user of Microsoft Office, email, calendars, and scheduling tools.
    • Excellent written and verbal communication skills.
    • Proven experience supporting projects, meetings, and client‑facing activity.
    • Strong customer service mindset, with the ability to engage effectively with stakeholders at all levels.
    • Experience working with financial data and CRM or database systems (desirable).
    • Proactive, adaptable, and solutions‑focused, with a practical “can‑do” approach.
