Role Purpose
G Leonard is seeking a highly organised and proactive Stores & Purchasing Co-ordinator to oversee all aspects of stock control, stock purchasing, asset tracking, and stores operations across our manufacturing and project/service environments. This role ensures that materials, components, equipment, and consumables are sourced competitively, stocked appropriately, and supplied efficiently to production teams and project sites.
Key Responsibilities
Working as part of a small team, the successful candidate’s responsibilities will include:
Purchasing & Stock Control• Manage day-to-day stock purchasing in line with the company’s purchasing policy.
• Source competitively priced materials, parts, and consumables.
• Raise purchase orders (POs), track supplier performance, and maintain purchasing records.
• Maintain minimum stock levels and re-order triggers to prevent shortages.
· Oversee goods-in processes and manage discrepancies or damaged goods.
· Process job orders, issue stock to jobs, and manage returns-to-stock processes.
· Maintain accurate stock records on the G Leonard stock control system to include undertaking full and cyclical physical stock counts of all stock areas, agreeing physical count to the stock system and agreeing relevant adjustments in line with company policy.
Stores Operations• Maintain a clean, safe, and efficiently organised stores environment.
• Ensure stock is correctly labelled, stored, and accessible.
• Manage PPE stocks, issuing and tracking PPE and ensuring returns where applicable.
• Prepare outgoing orders and materials for workshop teams and project teams.
Audits & Stock Accuracy• Conduct quarterly random cycle counts.
• Lead the full annual stocktake each year including reconciliation and variance reporting.
• Identify root causes of stock discrepancies and implement corrective actions.
Asset & Equipment Management• Manage tools, equipment, and hire items including issue, return, tracking, and maintenance records.
• Maintain asset registers and calibration/inspection records where relevant.
• Overseeing documentation ensuring compliance and record-keeping.
System & Process Ownership• Maintain and improve the stock management system.
• Develop and maintain standard operating procedures for stores and purchasing activities.
• Provide reporting on stock levels, purchasing activity, supplier performance, and equipment status.
Logistics & Local Collections• Collect purchased items from local suppliers when required.
• Deliver urgent materials to project sites during peak activity.
• Ensure safe handling and secure transportation of materials and equipment.
Health, Safety & Compliance• Ensure stores operations comply with company H&S standards.
• Maintain documentation and traceability for CE marking and safety compliance.
• Manage safe storage of hazardous materials if applicable.
Relevant ad hoc duties as required.
Skills & Expectations
Essential
• Previous experience in stores, stock management, or purchasing roles.
• Strong organisational skills with excellent attention to detail.
• Confident using computerised stock management or ERP systems.
• Process-driven mindset with a focus on accuracy, efficiency, and accountability.
• Excellent communication skills, both oral and written. Confident communicating with suppliers and internal teams.
• Strong IT Skills - Competent with Microsoft Office suite.
• Proactive approach — Ability to multi-task, manage deadlines and workload.
• Strong planning and organising skills with a keen eye for detail.
• Good numeracy and time management skills.
• Ability to perform moderate manual handling as part of stores activities.
• Must be comfortable working in a workshop/stores environment with regular physical activity.
• Full UK driving licence (must meet minimum age requirement of company insurance policy).
Desirable
• Experience using stock management systems within engineering and manufacturing would be an advantage.
• Experience of supplier management.
• Logistics or materials handling experience.
• Lean Manufacturing or 5S.
• Experience in inventory reduction / cost-saving initiatives.
• Experience of suporting site operations.
• Valid forklift licence
