Overview
Our client, a well-established and growing business based in Portsmouth, is currently seeking a Project Coordinator to join their team as part of continued expansion. This is an excellent opportunity for a highly organised, detail-oriented individual who enjoys coordinating across teams and supporting operational and sales activity within a fast-paced environment.
The role will be fully office-based during the initial probation period (approximately six months), with the potential to work from home one day per week thereafter, subject to performance and workload requirements.

The Project Coordinator will play a key role in supporting projects from order through to completion, coordinating with internal teams, suppliers, and customers. The position also provides essential support to sales activity, including quotations, pricing checks, and internal administration.
Key Responsibilities
Order & Project Coordination
Processing sales orders, ensuring accuracy of product, cost, and order information
Raising and managing purchase orders with suppliers
Coordinating deliveries between suppliers and customers
Managing orders from initial entry through to invoicing and payment
Raising sales invoices for completed orders
Resolving supplier invoice and delivery queries
Maintaining accurate electronic records and filing documentation
Supporting colleagues with order processing during periods of absenceSales & Quotation Support
Assisting with the preparation of quotations and supporting documentation
Creating and maintaining quoting and pricing schedules
Checking quotations against agreed budgets and target pricing
Escalating any discrepancies to the relevant internal stakeholders
Supporting internal sales activity, including enquiry follow‑ups and customer liaison
Working cross‑functionally with other teams to support project schedules
Assisting with smaller quotes and internal sales tasks as required
Maintaining accurate and well‑organised project and supplier records
Attending monthly team meetings and training sessions (may include travel to another office on occasion)Customer & Internal Support
Handling incoming calls and directing them appropriately
Responding to customer queries in a timely and professional manner
Liaising with internal teams to ensure smooth project deliveryIssue & Quality Management
Identifying, raising, and managing issues related to orders or projects
Taking ownership of issues through to resolution
Understanding the impact of issues on project timeframes and costs
Ensuring all issues are tracked and resolved within agreed timeframesGeneral Duties

The successful candidate will demonstrate:
Strong organisational and coordination skills
Excellent attention to detail
Ability to work across multiple teams and priorities
Good working knowledge of Microsoft Excel
Experience using finance, ordering, or business systems (any system considered; not sector‑specific)
Strong communication and teamwork skills
A flexible approach, with the ability to meet deadlines and work under pressure
Good commercial awareness
