Our client is looking for a highly organised, proactive and trustworthy Personal Assistant to play a key role in supporting their Chief Executive Officer within a busy construction administration environment based in Peterborough.
The position is initially offered on a part-time flexible position of 20 hours per week, typically worked across five days, preferably mornings. Flexibility with working hours and the availability to increase standard working hours if necessary are essential. This role may involve travel and occasional evening commitments in line with business needs.
09:00hrs to 13:00hrs Monday to Friday
Responsibilities
* Provide high level proactive support to the Chief Executive Officer, ensuring effective use of time and prioritisation of commitments.
* Manage and coordinate the CEO’s diary, appointments and meetings, including the preparation of agendas and supporting documents.
* Triage, monitor and manage incoming communications (emails, calls and correspondence), drafting response where appropriate and highlighting urgent matters.
* Act as a key liaison between the CEO and internal/external stakeholders.
* Coordinate meetings, take accurate minutes and track follow up actions.
* Assist with the preparation of reports, presentations and briefing documents. Support planning and organisation of events, meetings and travel arrangements.
* Draft, format and produce documentation to a high professional standard.
* Maintain confidential records and files with accuracy and discretion.
* Support specific business and personal projects.
* Maintain and improve administration systems and processes.
* Ensure exceptional levels of customer and client care at all times.
* Provide structured daily briefings to the CEO.
* Provide general administrative support as required.
Requirements
* Administration related qualification, such as Level 3 in Business Administration
* GCSE or equivalent Grade C/4 or above in English Language, Literacy and Numeracy
* Proven experience as a Personal Assistant or in a similar administrative role
* Experience supporting a CEO or Senior Director and within the construction industry would be beneficial
* Exceptional organisational and time-management skills,Excellent written and verbal communication skills
* High level of discretion and professionalism when handling confidential information, Ability to work independently and adapt to changing priorities
* Confident with a range of IT systems and software
* Self-motivated, proactive and a positive attitude
* Strong team player with the ability to integrate effectively at all levels
* Willingness to undertake training and personal development
* Commitment to maintaining professional standards and continuous improvement
