You’ll manage workflows from initial booking through to final delivery, working closely with internal teams and external stakeholders, including public sector organisations.
The Role & Responsibilities
* Manage sales administration and production workflows end-to-end
* Prepare and process Letters of Agreement (LOAs)
* Maintain accurate records across shared systems and CRM (e.g. HubSpot)
* Compile and distribute advertising and booking information
* Send campaign launch communications and track progress
* Monitor inboxes and coordinate invoice approvals
* Liaise with clients and stakeholders to secure approvals and content
* Create and update adverts based on confirmed bookings
* Implement client amendments and ensure accuracy
* Proof and quality-check publications (content, branding, contact details)
* Coordinate internally to ensure all deadlines are met
* Update website and digital platform content (e.g. Wix)
* Maintain tracking systems and publication records
* Support marketing with visual assets and pre-publication materials
* Ensure documentation and systems remain accurate and compliant
* Provide general admin and onboarding support where required
About You
* Highly organised with strong attention to detail
* Confident managing multiple tasks and deadlines
* Strong communicator, comfortable with external stakeholders
* Experience using CRM systems (HubSpot preferred)
* Proactive, reliable, and process-driven
* Background in media, publishing, or similar (desirable)
