    Job description

    We’re on the hunt for a dependable, organised, and articulate Centre Administrator to join a tight-knit team of four at a bustling shopping centre in Edinburgh. You’ll be the linchpin supporting theCentre Manager and Operations & Marketing team.This is more than just admin – we’re looking for someone a bit “FM savvy,” who’s comfortable liaising with contractors, facilities management teams, and tenants, while keeping the day-to-day running smoothly.

    The ideal candidate is conscientious, presentable, and thrives on variety – juggling multiple priorities, staying on top of compliance, and being a reliable right-hand for the ops team. You might come from an office manager, office admin, or FM coordinator background, and you’re ready to bring your attention to detail, organisational skills, and proactive approach to a dynamic retail environment.

    Key Responsibilities & Duties:

    * Provide efficient administrative support to ensure smooth running of the Centre, including processing and checking invoices for Centre Manager approval.

    * Assist with service charge budgets, monitoring expenditure, and maintaining payment systems for the Mall, Car Park, and other income streams.

    * Organise and maintain manual and electronic filing, data, and information systems, including the Centre’s SharePoint site.

    * Support the Operations Manager in coordinating contractor works, monitoring reactive and planned maintenance via CAFM and Compliance systems, and liaising with contractors.

    * Upload audits, surveys, and compliance documentation as required.

    * Assist with tenant liaison, collating trading information, maintaining logs, and preparing reports for client and management review.

    * Ensure compliance with company Quality Assurance and Health & Safety procedures at all times.
