Administrative Business Partner (Contract – Hybrid, London)
Remuneration: £25.96 Per hour
Duration: 25 May 2026 – 24 May 2027
Schedule: Hybrid (minimum 2 days per week in the office)
Working Hours: Must be able to support US, EMEA & APAC time zones
About the Role
We are seeking a highly organised and proactive Administrative Business Partner (ABP) to provide administrative and operational support to senior leaders across multiple business units. This role requires excellent judgement, strong communication skills, and the ability to manage complex scheduling, events, travel, expenses, and special projects in a fast‑paced environment.
You will support three directors, work cross‑functionally with internal teams, and help drive an efficient, well‑organised, and high‑performing workflow across the organisation.
Key Responsibilities:
Executive & Team Support
- Provide extensive calendar management for executives and teams, including resolving scheduling conflicts, planning across time zones, and optimising time allocation.
- Prepare and organise meetings: secure rooms, ensure equipment readiness, compile agendas, create materials, and assist with note‑taking.
- Maintain the highest level of confidentiality and apply strong judgement in handling sensitive information.
Operational & Administrative Excellence
- Complete expense reports, process invoices, and manage purchase orders.
- Oversee travel coordination: book travel, prepare pre‑travel requirements (e.g., visas, tech support), organise itineraries, and support travel logistics as needed.
- Support resource planning and headcount tracking where applicable.
Event & Program Management
- Plan and execute small to medium‑scale internal and external events such as offsites, workshops, business meetings, team activities, and site‑wide programs.
- Manage logistics including venue bookings, equipment, budgets, suppliers, and compliance.
- Act as the point of contact during events, ensuring smooth delivery from planning through execution.
Facilities, Culture & Site Support
- Partner with workplace services teams to coordinate office space planning, accommodation needs, and potential moves.
- Participate in culture‑building activities and contribute to community, engagement, and site initiatives.
- Support program and project work across culture, communications, team dynamics, and site effectiveness.
