Owen Reed is looking for a Legal Secretary with a background in Corporate or similar for a top law firm in London.
We are working with a highly regarded international law firm to recruit two experienced Legal Secretaries to support their Corporate practice. This is an excellent opportunity for a proactive and detail-oriented legal secretary to join a fast-paced, collaborative team within a prestigious firm.
The successful candidates will provide high-level administrative and secretarial support to Partners and Associates, ensuring the smooth day-to-day running of the team.
Key Responsibilities
- Utilise the firm’s computer systems and software applications effectively.
- Follow document processing procedures, including creating, editing, proofreading and formatting legal documents.
- Transcribe handwritten materials and, where applicable, dictation.
- Maintain calendars, deadlines and reminder systems for attorneys.
- Manage and prioritise telephone calls, emails, documents and projects.
- Handle incoming and outgoing mail as required.
- Schedule and organise meetings, conferences and departmental activities.
- Arrange travel and accommodation, prepare itineraries and follow up on expense processing.
- Maintain e-filing, inbox management and records management systems.
- Open and maintain client and general files, review older files and prepare files for closure.
- Update client contact information using the CRM system.
- Ensure attorneys’ timesheets are completed in a timely manner.
- Prepare legal documents and provide administrative support to Partners and Associates.
- Exercise discretion and sound judgement while handling competing priorities.
- Work closely with other administrative and secretarial staff and provide cover during absences.
- Attend training sessions, team meetings and firm-wide events as required.
- Undertake additional duties and projects as needed.
Candidate Requirements
- Proven legal secretarial experience, ideally within Corporate or a similar practice area.
- Excellent English language and grammar skills.
- Strong typing and transcription skills (minimum 70 wpm).
- Excellent organisational and prioritisation skills, with the ability to work under pressure.
- High attention to detail with strong proofreading skills.
- Professional and confident communication skills with clients, attorneys and colleagues.
- Ability to work independently and as part of a team.
- Flexible and willing to work additional hours when required.
- Strong commitment to confidentiality and professionalism.
