The Script
As our Group Reservations Representative, you play a key role in managing and converting group, meeting, and event inquiries for INK Hotel Amsterdam – MGallery. You are the central point of contact for group clients from the first inquiry to contract signature and final follow-up. Working closely with the Revenue Manager and Commercial team, alongside the individual reservations team, you help maximize revenue by identifying business opportunities, optimizing rates, and up-selling hotel services.
You manage group reservations, ensuring accuracy, consistency, and a high level of service at every touch point. From corporate meetings and social events to leisure groups and full hotel buy-outs, you coordinate all details with internal departments to deliver a flawless experience — always willing to go the extra mile.
No two days are the same: one moment you’re creating a proposal for a multi-day corporate meeting, the next you’re fine-tuning a contract for an international leisure group. You thrive in a fast-paced environment, stay structured under pressure, and never lose sight of the guest experience.
Your key responsibilities
-Managing and coordinating group and meeting & event reservations from inquiry to confirmation;
-Building and maintaining relationships with key accounts and intermediaries such as travel agencies, DMC’s;
-Creating tailor-made proposals and agreements in BackYou Sales & Catering System in collaboration with the Cluster Revenue Manager;
-Maximizing revenue by identifying up-selling opportunities and driving additional business;
-Ensuring all reservations are handled according to Accor, MGallery and LQA standards;
-Liaising closely with operations, F&B, Front Office, Guest Relations and Finance to ensure flawless execution;
-Monitoring options, cancellations and room allotments including release dates and inventory control;
-Ensuring accurate and timely input of group data in PMS/S&C (OperaCloud & Backyou);
-Working on after sales (returning business), special requests and feedback for group clients;
-Attending and contributing to weekly lead meeting and sheet meeting;
-Reporting on pipeline, conversion and upcoming arrivals;
-PM-checks for group accounts and sending final invoices;

We are looking for a highly organized, proactive, and service-driven professional with a passion for groups and events. You are someone who brings structure, commercial insight, and enthusiasm to the role. You have:
At least 1–2 years of experience in group reservations, meetings & events, or a similar role;
Strong organizational skills and attention to detail;
A commercial mindset with confidence in negotiating and revenue optimization;
Excellent communication skills in English (Dutch is a plus; additional languages are an advantage);
Experience with reservation systems (OperaCloud is an advantage);
Flexibility in working hours and availability for 4 to 5 days per week.
