Procurement & Supply Chain Specialist

We are seeking a dynamic Procurement & Supply Chain Specialist to join our team. In this role, you will play a critical role in ensuring our engineering and production teams can operate efficiently by securing the right components, services, and logistics support at the right time and cost.

You will work closely with engineers, project managers, finance, and operations to source goods efficiently, coordinate logistics and shipments, and ensure everything is properly tracked from order to delivery. This is a hands‑on role, reporting to the Finance and Operations department and working closely with cross‑functional teams. It is suited for someone who enjoys combining structure, logistics coordination, and day‑to‑day execution in a fast‑moving, technical environment.

• Own the full procurement lifecycle, from quote requests and purchase orders to delivery follow‑up and closure.
• Source, evaluate, and manage suppliers, including contract coordination and negotiation.
• Purchase technical components, equipment, tools, software licenses, and services for all technical departments.
• Work closely with engineers, project managers, and CTIO to translate technical and project needs into procurement actions, ensuring proper review and approval.
• Ensure all purchased goods and services meet required technical, quality, and compliance standards.
• Collaborate with Finance to process supplier invoices and ensure alignment with deliveries.
• Align with Finance to ensure purchases are written off on the right commercial or research projects.
• Maintain accurate inventory and asset records for hardware, components, and consumables.
• Monitor stock levels, anticipate needs, and proactively reorder based on project and operational demand.
• Manage inventory and asset tracking in collaboration with Production team, using ERP tools such as Odoo, ensuring data accuracy and ownership of the system.
• Organise and oversee the shipment of Q*Bird systems to clients, in close collaboration with the production and operations team.
• Coordinate domestic and international shipments, including customs documentation where required.
• Handle returns, repairs, warranties, and Incoterms‑related coordination.
• Maintain clear procurement and logistics documentation, processes, and procedures.

• 2+ years of experience in procurement, purchasing, supply chain, or operations.
• Experience working with technical products, hardware, or engineering teams.
• Strong organizational skills and attention to detail.
• Proactive and solution‑oriented mindset.
• Ability to manage multiple suppliers, orders, and priorities simultaneously.
• Comfortable working with spreadsheets and ERP/procurement tools (experience with Odoo is a strong plus).
• Strong communication skills and ability to collaborate across functions.
• Fluency in English. Dutch would be a plus.
• Experience in a startup, scale‑up, or SME environment.
• Knowledge of international logistics, customs processes, and Incoterms.
