Position SummaryThe Facility Management Specialist is responsible for the overall maintenance, safety, efficiency, and functionality of the office building and its surrounding property. This role ensures that building systems, vendor services, and workplace environments operate smoothly to support tenants, employees, and visitors.
Key Responsibilities Building Operations & Maintenance- Oversee daily building operations including HVAC, electrical, plumbing, fire safety, elevators, and general infrastructure.
- Develop and implement preventive maintenance programs.
- Coordinate repairs and respond promptly to maintenance requests.
- Ensure compliance with local building codes, safety standards, and environmental regulations.
- Manage third‑party vendors such as cleaning, security, landscaping, and maintenance contractors.
- Negotiate contracts, monitor service quality, and control costs.
- Review vendor performance and ensure SLA compliance.
- Maintain workplace health and safety programs and emergency preparedness procedures.
- Conduct regular safety inspections and risk assessments.
- Ensure fire protection systems and emergency equipment are fully operational.
- Lead evacuation drills and incident response coordination.
- Prepare and manage annual facility operating budgets.
- Track expenses, approve invoices, and identify cost‑saving opportunities.
- Plan and forecast capital improvement projects.
- Implement energy‑saving and sustainability initiatives.
- Monitor utility usage and recommend efficiency improvements.
- Support green building certifications or environmental programs where applicable.
- Bachelor’s degree in Facilities Management, Engineering, Business Administration, or related field preferred.
- 3+ years of experience in facility management, property management, or building operations.
- Experience managing commercial or multi‑tenant office buildings preferred.
- Strong knowledge of building systems and preventive maintenance practices.
- Budget management and vendor negotiation skills.
- Excellent problem‑solving, communication, and leadership abilities.
- Familiarity with facility management software and reporting tools.
- Ability to respond to emergencies outside normal working hours if required.
