Payroll Specialist (Freelancer)

For HeadFirst Group, we are looking for an experienced freelance Payroll Specialist who will temporarily take responsibility for payroll and personnel administration. In this interim assignment, you will ensure accurate, timely, and complete payroll processing and act as the point of contact for HR and Finance. You will work within the HR team in an organization with multiple Dutch entities and a complex payroll environment, where stability and quality are essential. This is a temporary position with a focus on continuity. You will work independently and ensure that payroll continues to run smoothly until a permanent payroll specialist is found.

In this role, you will be responsible for the monthly payroll processing of more than 300 employees across multiple Dutch entities. You will ensure the quality of the payroll administration and make sure that processes are followed and recorded correctly. You will independently handle complex payroll issues and support HR and Finance with questions about payroll taxes, leave, illness, disability, WKR, and employee benefits such as pensions and insurance. In addition, you will check payroll journal entries, coordinate with Finance, and provide support during audits and inspections. An important part of the assignment is to carefully document payroll processes and make them transferable, so that a smooth transition to the permanent successor is possible.

Responsibilities

• Ensure the correct application of laws and regulations in the areas of payroll taxes, leave, sickness, and social security
• Manage and apply the Work-related Expenses Scheme (WKR)
• Prepare and process payroll tax returns and annual statements
• Process and check changes in salary and personnel data
• Identify risks and bottlenecks within the payroll and respond appropriately
• Secure payroll processes, documentation, and audit trail
• Act as the point of contact for payroll issues for HR and Finance
• Ensure a stable, accurate, and transferable payroll system

Good to know

This interim assignment is aimed at ensuring continuity within payroll until a permanent colleague is found. The focus is on stable payroll execution and careful transferability to the future permanent Payroll Specialist.

• Start date: as soon as possible
• Duration: approximately 3 months, with possible extension if necessary
• Commitment: 32 to 40 hours per week, with a minimum of 2 days at our office in Hoofddorp
• Rate range: €60 to €85 per hour (all-inclusive)
• Invoicing: monthly, payment term 30 days

What we expect from you

You are an experienced payroll professional who is quickly deployable as a freelancer and takes immediate responsibility. You feel comfortable in a solo role and know how to bring structure and calm to a complex organization. In addition, you bring the following to the table:

• Extensive experience as a Payroll Specialist or payroll administrator, preferably within organizations with multiple entities
• Completed Practical Diploma in Payroll Administration (PDL); VPS is an advantage
• Up-to-date and thorough knowledge of Dutch payroll taxes, social security, leave arrangements, and WKR
• Experience with employee benefits such as pensions and insurance
• Demonstrable experience with AFAS
• Independent, accurate, and responsible work attitude
• Excellent command of the Dutch language; English is a plus
