We’re looking for one of our clients a part-time Interim Executive Assistant to support the General Management Team (GMT) responsible for all executive functions, including HR, Technology, and Finance. As the new colleague, you will coordinate and manage agendas, as well as support the planning of meetings.
You will be in a critical function within the organization, the first point of contact for all executive leaders, and will be fielding the information coming to and from the team. The dynamic nature of this role requires exemplary time management skills and the ability to identify and anticipate the GMT’s needs. The role must interact seamlessly across a broad range of professionals, including the Board of Directors, and cross-functional leaders that report to the CEO.
Your responsibilities:Meetings and Travel:
- Coordinate GMT and Board meetings, including necessary travel arrangements.
- End-to-end coordination of internal/external meetings, events, and conferences, i.e., booking of meeting rooms, managing logistics of visitors, etc. For GMT members.
- Organize the agenda, minutes, and reports for key management meetings.
- Organize complex, multi-stop, international travel arrangements with detailed itineraries for GMT members.
Organisational Ownership:
- Proactively manage extensive calendars and expenses.
- Organize and maintain diaries of GMT managers.
- Deal with incoming email, telephone, and physical post for GMT members.
- Produce documents, briefing papers, reports, and presentations for GMT members.
- Create and proof-read documentation, including presentation materials, proposals, and general correspondence for GMT members.
- Manage databases and filing systems, file and retrieve confidential corporate documents, records, and reports, circulating when necessary.
- Available for 24 hours per week (Tuesday, Wednesday, and Thursday; other days are possible) for 6 to a maximum of 12 months.
- English proficiency; a second language such as Dutch or French is considered a plus.
- 2-5 years prior experience in supporting a senior executive or team.
- Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).
- You are a pragmatic individual, with a positive and problem-solving mindset.
- You have outstanding organizational and time-management skills, including being able to multitask and prioritize the considerable daily workload.
- You are used to handling extremely sensitive information.
- Ideally, previous experience in a fast-growing scale-up.
- Flexibility with a 24/7 mentality in case of emergency.
