Executive Assistant role requires a customer / service first mindset and a trust. You will be working in a large and complex organization where substantial interests are at stake having a significant impact on Philips or a large proportion of it.
There is a team of assistants globally with which you will partner to support the organization at large. There is a variety in the activities you do and the people you meet, this requires sensitivity, integrity, trust and tact. You will make decisions and you are held responsible for these decisions afterwards. You are able to think ahead and take actions to enable decision-making processes and set priorities.
You are responsible for
Performs all standard supporting tasks for a department (dept. assistant) resp. executive (Exec. assistant),
Agenda Management, mail screen incoming and outgoing mail, processing and priorities,
Organizing (and hosting) meetings, events, (video) conferences, Web casts,
Creating draft letters/mails/ office documents/meeting minutes/ PowerPoints,
Develop travel plans travel arrangements (incl visa) and related expenses,
Remain knowledgeable of corporate policies,
Dealing with sensitive, complex and highly confidential information,
Creating Purchase orders,
Announcements: sending out local announcements,
Train and coach (lower-level) departmental assistants,
Interpret and communicate executive intent to other employees,
Serves as a contact to employees or other stakeholders inside and outside the organization,
Conducts various, special projects, especially involving budgets and preparations for Senior management meetings,
Work closely with Communications Team on Global Announcements,
Responsible for social events to activate team feeling.
You are a part of
You will report to the HR leader for the Personal Health Cluster and collaborate with the PH team, PH and HR leaders and other PH assistants as well as assistants in the HR organisation. You will be part of the fast moving, energized Personal Health organization.
To succeed in this role, you’ll need a customer-first attitude and the following
Relevant education with a minimum 5 years of work experience as an Executive / Management Assistant in a fast-paced, dynamic, international environment,
Excellent verbal and written communication skills in English,
Fluency in Dutch is preferred,
Has a natural assertive demeanor and strong communication, organization and planning skills; your skills in Outlook calendar and mail management are of outstanding importance,
Pro-active and enthusiastic person, who is willing to take initiative, knows how to set priorities under high pressure,
Strong work ethic and positive attitude,
Confident, mature, calm,
Problem solving – independently identify and resolve issues in a timely manner; call out when vital and look for solutions/improvement,
Very flexible (adapting to fluctuating workload), able to multitask and work with (tight) deadlines,
Good listener, empathetic with the capacity to influence,

Very discrete, structured, accurate and attention to details,
