Administratief medewerker / Administrative Assistant

The Administrative Assistant is responsible for office administration (Back Office) and assisting the Operations Manager and Recruiter with the administrative recruitment process. He/she is responsible for building and maintaining relationships with the professionals. The employment is fulltime.

The (Junior) Administrative Assistant reports to and is directly accountable to the Managing Director.

Job Specific Tasks:

  • Responsible for all administrative and office management tasks within OAK Offshore Office;
  • Handling telephone call and email communications;
  • Handling documents such as memo’s, minutes, letters, reports including reproduction and distribution;
  • To maintain administration of all data from personnel in database system and keep updated;
  • Responsible for maintaining certification of personnel (onshore and offshore) including all required arrangements for courses and training as per trainings matrix;
  • Assist and liaise with Operations Manager with recruitment process when required;
  • Assist and liaise with Operations Manager with arrangement of visa’s, travel and accommodation when required;
  • Insures proper documentation, including transit documents, visas, medical and custom clearances and insure documentation is accurately processed, distributed and released to client, vessel and agent;
  • Assist Operations Manager with posting vacancies, organizing interviews and follow up;
  • Assist with all public relation activities when required.

Education/Experience/Competence:

  • Minimum MBO degree in a relevant education;
  • Affinity with the maritime/offshore industry (preferred but not a must);
  • Experience with applicant tracking system (ATS) (preferred but not a must);
  • Good experience with Word, Excel, Powerpoint and Social Media;
  • Fluent in Dutch and English, both written and spoken;
  • Good communication skills;
  • Team Player;
  • Flexible, no 9 to 5 mentality;
  • Stress-resistent;
  • Lives in the Netherlands, located in the region of The Hague (preferred but not a must).
