Secretary to the I&S Works Council

Job Description

This intensive cooperation reflects in our employee participation structure, which consists of a Works Council Innovation & Strategy and three Business Unit Committees.

We are looking for a Secretary to the I&S Works Council to support the Works Council Innovation & Strategy and Business Unit Committees.

In this role you have the opportunity to

Be instrumental in making the Innovation & Strategy Works Council and Business Unit Committees a success. You will be working closely with Works Council members and the Governor of Innovation & Strategy Netherlands. You will make a difference by helping our team to stay connected and operate efficiently in this this fast-paced environment. Structuring communication flow and ensuring that critical information is available, organizing events and meetings are part of the job. Adjustment of priorities will be a daily activity. Core strengths are: Reliability to provide a stable basis, flexibility, decisiveness to create clarity in process and a solutions-oriented attitude.

You are responsible for

  • Ensure correct and timely documentation and reporting of Works Council and Committee meetings:
  • Drawing up a draft agenda and ensuring that the meeting documents are sent.
  • Taking minutes during the meetings and drafting the meeting minutes.
  • Monitoring agreements made and decision lists.

    ​Carrying out various other secretarial / coordinating tasks:
  • Taking care of the incoming and outgoing correspondence.
  • Recording, updating and following up the annual calendar.
  • Keeping the archives of the Works Council and its Committees accessible and up to date. Collecting and providing documentation and information on request.
  • Contributing to the preparation of the annual report, taking care of the editing and ensuring the implementation and distribution of the annual report.
  • Managing and updating the website of the Works Council.
  • Contributing to the production of other works council publications for communication with the Works Council's supporters.
  • Ensures that there is coordination on behalf of the Works Council and the Executive Board with the prevention officers appointed for the various business units.
  • Organizing meetings of the Works Council and Business Unit Committees, as well as consultative meetings and committee meetings.
  • Providing information about the training of the members of the Works Council and arranging the logistics (meeting facilities, etc.).
  • Supporting the Works Council in preparing for the elections.

The Innovation & Strategy organization, reporting to the Governor of Innovation & Strategy Netherlands. The primary job location is Eindhoven with some flexibility regarding physical working place available (periodical work from home is possible). To succeed in this role, you should have the following skills and experience

  • Experience (more than 5 years) in an assistant role, preferably as Secretary to a Works Council
  • Certificate 1st course Secretary to a Works Council or willingness to obtain this certificate.
  • Excellent English language skills, spoken and written, as the meetings take place in English and meeting minutes are done in English.
  • Good social and communication skills at all levels in the organization
  • Good analytical skills and listening skills
  • Ability to set priorities
  • Ability to handle multiple calendars, and deadlines with excellent time management and instinct for prioritization
