Office Coordinator – Group Digital in Amsterdam


This is a great opportunity to take part of something never done before – building up one of our new locations for IKEA Group Digital. In Amsterdam we seek to hire 500 people in the coming 18 months and this role is part of the start-up team.

You should be ready to be one of the first in – and ready to help us welcome the rest! As you might already figure out, we don’t promise you any clear processes and agendas because you will be the one creating them. You love to structure work starting from a blank paper. You know how to navigate in a corporate context and to drive for standardization.

You have a bachelor degree (HBO). You have several years of experience in office and project coordination. A background from assisting management team members in a global and agile organization would also be beneficial to the job. You have strong administrative skills and the ability to improve existing ways of working. As a person you are highly flexible, pro-active and adaptive. You see what is needed and take care of the task, whatever it is.

To succeed in this role, you must be fluent in English and Dutch.


The office coordinator reports to the Digital Functional Operational Leader in Amsterdam. As the Digital Hub is being in the start-up phase, your work will be very diverse. From drafting contracts, to handling admin and taking care of practical tasks. Much of the work will be in a continuous project form and you are expected to be part of forming, shaping and adapting ways of working as we go.

Tasks you will for sure work on:
• Support with on/off boarding of co-workers: financial- and time reporting, ordering computers and mobile phones, providing access to tools and sites
• Preparation of communication materials and presentations
• Coordinate events including scheduling, agenda setting, preparing material, catering management, technical support etc.
• Manage agenda’s, plan and support meetings and leaders
• Promote consistent way of working in office coordination across assignments, in collaboration with other Office Coordinators

Note that this is not an office support role as such, facilities, food and similar services will be provided by other functions. This role is to support Digital people in our Amsterdam location.
