Administrative Assistant
Octagon professional is currently looking for an experienced and reliable Administrative Assistant to join the international environment of the European Space Agency. Does providing secretarial and administrative support to a dynamic team sound like something that drives you? If so, read below for more information. The post holder will support the Internal Audit and Evaluation Service at ESTEC. Responsibilities: Dealing with incoming telephone calls and information requests; Managing distribution of incoming and outgoing correspondence and documentation, in consultation with the ESA Records Manager; Provision of various logistic support to the Service; Maintaining leave records for the Service; Managing arrivals (arrangements for office, phone, computer, security, access to databases, information systems) and departures (deregistration, etc.) of Service personnel; Ordering of office supplies and maintenance of stationary; Room and resources bookings, organization of agenda and invitations for meetings and/or events (e.g. workshops, conferences) falling under the responsibility of the Service; Documentation management, maintaining the hardcopy and electronic filing system of the Service, including the migration and rearrangement on ESA TeamSite, indexing of documents and mail, maintenance of distribution lists, issue of documents to concerned users; Maintaining and following up actions lists for the Service and taking minutes of team meetings for the Service; Maintaining the follow-up process of audit recommendations with relevant reports and IT tools; Support the Service quality system, such as maintaining templates and internal audit manual; Updating the Internal Audit and Evaluations Website; Data collection, extraction from various Corporate applications (e.g. SAP, e-CPB) and from various internal sources.
