Essential Responsibilities / Duties
 
 
Generalist HR Administration duties:
 

  • Training Administration
    • Coordination of training courses across European locations
    • Responsible for issuing and filing training registration documentation
    • Responsible for issuing and filing training sponsorship letters
    • Responsible for issuing and filing training evaluation forms
 
  • Performance Management
    • Track and report on performance management activities across European office locations
    • Maintain records for all employees and upload onto the system
    • Ensure all performance management forms are reviewed and signed by HR Manager
    • Issue memo’s to managers and employees reminding them about deadlines (Annual Performance Reviews, Periodic Reviews)
 
  • Leave & Absence Management
    • Create and issue quarterly Leave Management reports to line  managers and senior management
    • Highlight excessive levels of leave (Annual leave, TOIL)
    • Create and issue quarterly Absence Management reports to line and senior management
       

       
  • Car Fleet Management
    • Responsible for ensuring all drivers of leased cars and rental cars have valid driving licences
    • Maintain car fleet for Eindhoven office
    • Prepare and issue monthly Finance car fleet reports to Finance for US cost reporting
    • Prepare and issue monthly reports to Payroll Manager to ensure employees are taxed correctly
    • Responsible for ordering and maintaining fuel cards
    • Invoice checking & seeking HR Manager approval
 
  • Health & Safety
    • Ensure no safety hazards in public areas of offices
    • Immediately report any concerns/identify safety risks to HR Manager
    • Set out appropriate signage of hazards as required.
    • To maintain documentation relating to the management of the building e.g.Health & Safety
    • Serve as Fire Warden and assist with weekly testing & extinguisher testing and log appropriately as directed by the HR Manager.
    • Work with HR Manager to establish and undertake evacuation procedures
 
  • Communications/Administration
    • Issue memo’s regarding (Promotions/transfer, Joiners/Leavers, HR imitative, Recruitment Vacancies
    • Raise PO’s (recruitment, training related)
    • Filing for local HR team
    • Maintain content on RedPortal HRHUB
 
 
 
 
Office Management/Facilities Duties:
 

  • Office Services
    • Maintaining, store and order office supplies (tea, coffee, stationary)
    • Managing supplier contracts (lease contract, supplier contracts)
    • Ensure office and all public areas are kept clean & tidy including kitchen, cleaning fridge each Friday
    • To undertake regular inspections of all the areas of the building and to monitor for maintenance requirements
    • To be the first point of contact with regards to issues on site follow-up to ensure issues are resolved
       
  • Meeting room/training facilitation
    • Ensure meeting/training rooms are set up appropriately
    • To ensure meeting rooms are re-arranged and tidied/cleaned following each meeting/training (incl. replenishment and disposal of old flipcharts, pens etc.
       
  • Reception/Finance Admin
    • To manage the switchboard
    • To ensure all visitors sign in and out of the building and maintain visitor registers to be used for reporting purposes
    • To process and distribute post as it arrives and to dispatch outgoing post on a daily basis
    • Issue invoices to Finance on daily basis
       

       
  • Travel
    • To book transport and accommodation for  RP employees and visitors
    • Responsible for arranging travel visas and associated administration
       
  • Event Management
    • Arrange and co-ordinate office social Events (Christmas, Summer, Sinterklaas Childrens party
                                       
 
 
Experience / Qualifications
  • Minimum 1 year HR/Facilities administration related work experience, preferably within a Human Resources/Facilities Department.
  • Office Management/Facilities experience
  • Experience of working on Reception
 
 
 
 
Skills Required
  • Proficiency with Microsoft Office: Word, Excel, Powerpoint & Outlook
 
  • Ability to work on own initiative, prioritising workload to meet time demands
     
  • Good organisational skills

  • Excellent telephone manner and the ability to liaise at all levels internally and externally
