In deze rol ben je de rechter hand van de Algemeen Directeur. Je taken zien er als volgt uit: Het beheren van de agenda waarin je prioriteiten stelt voor het maken van afspraken Het coördineren van de informatiestroom naar interne en externe relaties en het bewaken van de voortgang van gemaakte afspraken en besluiten. Je organiseert en bereidt naar aard en samenstelling uiteenlopende vergaderingen voor, maakt concept agenda's, regelt uitnodigen, completeert vergaderstukken, verzorgt de verslaggeving, voegt relevante achtergrondinformatie bij en attendeert de Directeur op bijzondere aandachtspunten. Het onderhouden van in- en externe contacten, het organiseren van officiële bijeenkomsten en het optreden als gastheer/vrouw. Het coördineren en beoordelen van de informatiestroom naar de Directeur toe. Je beoordeelt binnenkomende telefoon gesprekken op inhoud en importantie, verstrekt indien mogelijk zelf de benodigde informatie of verwijst door. Je bereidt correspondentie voor, c.q. concipieert naar eigen inzicht brieven in de Nederlandse, Franse en Engelse taal en verzamelt en bewerkt daartoe (aanvullende) informatie. Je attendeert de Directeur op bijzondere omstandigheden die zijn aandacht vragen en informeert hem actief over zaken die hij dient te weten. Je fungeert als eerste aanspreekpunt/vraagbaak voor in- en externe relaties en instanties. Je houdt het archief bij, verzamelt en ordent op verzoek gegevens over specifieke onderwerpen. Functie-eisenDe functie eisen zijn als volgt: MBO/HBO werk- en denkniveau; Kennis en ervaring met besluitvormingsprocedures; Ruime kennis en ervaring met management ondersteunende werkzaamheden; Inzicht in administratieve procesgang en structuren; Je bent integer, neemt initiatief, bent gemotiveerd en klantgericht. Je ben in staat om gestructureerd te werken en weet hoe om te gaan met vertrouwelijke informatie. Je bent betrokken, ondernemend en doortastend.
